Second Circular,

The Organizing Committee is eagerly preparing for the3rd International Olympiad on Astronomy and Astrophysics, and is looking forward to your arrival in Iran on October 2009. I would like to inform you of the latest progress and give you more information for participation in this unique event.

IOAA 2009 will be held in Tehran, Iran, October 17 to 26, 2009.

The responses to our first call have been very encouraging. Up to now twenty one countries have submitted their preliminary confirmation for participation.

Belarus, Indonesia, Poland, Bangladesh, Greece, Brazil, Lithuania, Thailand, Sri Lanka, Korea, India, Cambodia, Slovakia, Bolivia, Serbia, Romania, Kazakhstan, China, Ukraine, Iran (Official Team), Iran.

Invitation

The Organizing Committee considers sending the First Circular as an official invitation. However, if your participation requires a particular invitation letter to be sent to your government or related institute, please do not hesitate to contact us and make the enquiry (Please include fax numbers of yourself and the related government office, if you have not already put them in your Confirmation of Participation Form).

Registration Form and Visa

The icon for registration on our web site (http://www.IOAA2009.ir/) has been activated since July 2009. We have been sent every contact person, as introduced in registration form, a USERNAME and PASSWORD before then. The contact person has registered each participating individual form from his/her respected country. The deadline for submitting the Registration Form was 15 September, 2009.

All foreign nations need Entry Visa to Iran. To begin with visa procedure, a part of the information of the Registration Forms will be used by us to fill up visa forms. We will contact our Ministry of Foreign Affairs, and then will inform you to proceed. Please note that every participant should have a valid passport for at least six month when applying for visa.

Our next circulars will contain more detailed information on visa procedure.

Fees and Expenses

The Organizing Committee of the 3rd IOAA will provide all expenses including local hospitality, official visits and scientific and cultural programs during period of 3rd IOAA.

The event has no registration fee for participating team, including two team leaders and five students. For every extra team members (observers, visitors) there will be a 1000 USD registration fee. Medical insurance is obligatory for all participants.

Computers

Computers and printers will be provided at the discussion hall, where you could also seek assistance for any problems that may arise. Every team is provided with a PC installed with multi-language programs through Microsoft XP. Keyboards for common languages will be made available. However, you are encouraged to bring your own keyboard or laptop PC. If your laptop is equipped with USB port and LAN card, you may easily use it instead of PC on your desk.

Weather

As you know, October is an autumn season in Iran. So the weather is almost cold and for preventing to catch cold you need to wear long-sleeves T-shirts and warm suits. The temperature is between 5 to 15 degrees. As your accommodation is located in north of Tehran (in Alborz Mountains), the weather is almost cold.

First Circular,

The Ministry of Education of Islamic Republic of Iran  is  pleased to invite your country to participate in the 3rd  International Olympiad on Astronomy and Astrophysics to be held in Tehran, Iran, 17 – 26 Oct, 2009. We sincerely look forward to host all leaders, observers, visitors and competing students of your country in this international prestigious competition. The aim of the competition, which is between individual high school students, is to promote future international collaborations and to encourage friendship within the scientific community.

The Local Organizing Committee (LOC) will cover all the expenses for meals, accommodation and official social events during the official period of the Olympiad. LOC will not bear the cost of the transportation for the team, observers, or visitors from their own country to or from Iran. Observers and visitors are welcome, but they have to pay the official fees, i.e. US$1000 for observers and visitors. Registration information for these participants will be announced in subsequent circulars. Observers are allowed to attend all Olympiad meetings, including the meetings of the International Board, but without the right to vote and discuss.
